No photographs or videos shall be taken or disseminated without obtaining prior consent from the parent(s) or legal guardian(s).

All applicable Ophea guidelines shall be reviewed, and all physical activities shall adhere to the Ontario Physical Activity Safety Standards in Education as outlined at https://safety.ophea.net

All advertising and/or promotional materials will be submitted for review using the designated advertising request form.

SCDSB staff reserve the right to terminate any field trip or presentation, or to remove a vendor from the Field Trips and Presentations Approved Vendor List, at any time if the content, services, or personnel provided by the vendor are found to be misaligned with the SCDSB Strategic Priorities

The vendor must provide any and all applicable documentation upon request. Such documentation includes, but is not limited to, certificates of insurance, TSSA certificates, health certificates, and/or animal immunization records, if applicable.

Principals, school staff, and school council members do not have the authority to bind the board. SCDSB staff organizing the field trip and/or presentation will provide any and all vendor contracts, waivers, agreements, and/or vendor registrations to the contracts department for review and signature.

Dunk tanks, bouncy castles/houses, trampolines, and/or wild animals are not permitted.

Equipment is only permitted on school property the day of the event.

Attachments

Applications must include comprehensive details of the presentation materials, including but not limited to presentation notes, slides, consent forms, waivers, registration forms, surveys, handouts, giveaways, and literature. All submitted content must align with the Ontario curriculum. Please note that incomplete submissions will not be considered for review.

Allowed file types are: pdf, doc, docx, xls, xlsx, jpg, jpeg, gif, png, tif, txt, rtf, ppt and pptx
Note: Users are allowed to submit up to three attachments with the maximum file size of 25MB each. If your attachment exceeds the allowable file size, please email corporateservices@scdsb.on.ca to arrange for an alternate method of sending the large document.
